How Rubik Art Center scaled to 50+ events monthly

How Rubik Art Center scaled to 50+ events monthly

Custom automation workflows that eliminated hours of manual work and unified operations across multiple venues and platforms.

Venue Coordination

Multi-venue availability & booking management

Challenge

Scaling from one venue to coordinating events across 12 partner locations meant dealing with 12 different booking systems—some use email, others have their own portals, and a few still rely on shared Google Calendars or even phone calls. When a touring artist needed dates across multiple cities, checking availability meant 12 separate conversations. By the time all confirmations came back, some venues had already booked other events. Double-bookings happened. Opportunities were lost.

Solution

Satisly built a unified venue coordination system that: • Pulls availability from each venue's system automatically—whether it's Google Calendar, a booking portal, or even email confirmations • Displays all 12 venues in a single real-time dashboard • Places tentative holds across multiple venues simultaneously with one click • Sends automatic reminders to venues to confirm or release holds • Syncs confirmed bookings back to each venue's native system

Before, booking a 5-city tour meant a week of back-and-forth emails. Now I see all venue availability in one place, place holds with one click, and the confirmations flow back automatically. We're booking more shows with less stress.

Event Syndication

One-click publishing to all platforms

Challenge

Every event needs to be listed on Resident Advisor, Facebook Events, Eventbrite, our own website, and local event guides. That's 5 different platforms with 5 different interfaces, image requirements, text formats, and submission flows. At 50 events per month, we were making 250 manual entries. Each one took 10-15 minutes—logging in, uploading images, copying text, adjusting formats, scheduling posts. That's over 40 hours monthly just on data entry. Errors crept in: wrong times, missing ticket links, inconsistent descriptions.

Solution

We built an event syndication workflow that: • Accepts event details once through a simple form—date, venue, artists, description, images, ticket link • Automatically reformats content for each platform's requirements (image sizes, text limits, category tags) • Submits to all platforms simultaneously via their portals • Tracks submission status and flags any failures for manual review • Updates all platforms automatically when event details change

I used to dread listing events—it was the most tedious part of the job. Now I fill out one form, hit submit, and within minutes the event is live everywhere. Perfectly formatted, no mistakes. It's like having a full-time marketing coordinator who never sleeps.

Performance Analytics

Automated post-event reports in 48 hours

Challenge

After every event, our investors and sponsors expect performance reports: attendance vs. projections, revenue breakdown by channel, ticket sales velocity, social media reach, and photographer deliverables. Each data point lives in a different system. Pulling this together for 45 events monthly meant logging into 6 platforms, exporting CSVs, manually combining data in spreadsheets, and formatting reports. It took nearly a full week each month—and by the time reports were ready, the data was already stale.

Solution

Satisly created an automated reporting pipeline: • Aggregates data from Resident Advisor, Eventbrite, Facebook Insights, our POS system, door sales, and cloud storage (for photos) • Calculates key metrics: attendance rate, revenue per channel, social engagement, cost per attendee • Generates professionally formatted PDF reports using branded templates • Delivers reports to stakeholders automatically within 48 hours of event close • Archives everything in a searchable database for historical analysis

Reporting used to be my least favorite part of the month—a week lost to spreadsheets. Now it just happens. Sponsors get their reports before they even ask, with data I never had time to compile before. It's completely changed how professional we look.
